If you are entering into these Terms on behalf of an organisation, you warrant that you have the authority to bind that organisation to these Terms.
If you do not agree, you must not access or use the Platform.

Eligibility & Account Registration
3.1 Eligibility
You must be at least 16 years old and legally capable of entering into a binding contract to register for an Account. The Platform is not directed at children under 16.
3.2 Account information
You agree to:
You are responsible for all activity that occurs under your Account, whether or not authorised by you. We are not liable for any loss or damage arising from your failure to protect your credentials.
- Provide accurate, current, and complete information when registering
- Keep your Account information up to date
- Maintain the confidentiality of your login credentials
- Notify us immediately of any unauthorised access at info@thewebguys.co.uk
3.3 Team members
Tenant administrators may invite additional team members. The Tenant remains responsible for all activity carried out by its team members and for ensuring those team members comply with these Terms.
The Multi-Tenant Model
4.1 Dedicated workspaces
HUB BY THE WEB GUYS operates a multi-tenant SaaS architecture. Each Tenant receives a dedicated workspace with independent data storage. Tenants cannot access, read, or interfere with one another's data.
4.2 Tenant responsibility for End User data
Each Tenant is the data controller for personal data of its End Users under the UK GDPR and equivalent regulations. HUB BY THE WEB GUYS acts as the Tenant's data processor for that data, governed by our Data Processing Addendum.
By creating End User records, importing customer data, or otherwise processing personal data through the Platform, the Tenant warrants that it has the lawful basis to do so and has obtained any required consents.
4.3 Tenant administrator duties
A Tenant administrator must:
- Configure access controls and permissions appropriately for their team
- Provide End Users with privacy notices required by law
- Respond to End User data subject requests in a timely manner
- Maintain accurate billing information
Subscription, Billing & Cancellation
5.1 Subscription plans
Access to the Platform requires a paid Subscription except where free trials or evaluation periods are explicitly offered. Subscription pricing and the included feature set are described on our Packages page.
5.2 Billing
- Subscriptions are billed in advance on a recurring monthly or annual cycle as selected at signup
- All fees are stated in GBP (£) unless otherwise displayed and are exclusive of VAT or local equivalent taxes which will be added where applicable
- Payment is processed by our payment provider (Stripe). Full card numbers are not stored on our systems
- You authorise us (via the payment provider) to charge the payment method on file for all fees as they become due
5.3 Failed payments
If a payment fails we will attempt to charge the payment method again within a reasonable retry window. If payment cannot be collected after repeated attempts we may suspend access to the Platform until the outstanding balance is paid. Data is retained during suspension; if the balance remains unpaid for 30 days we may permanently delete the workspace.
5.4 Cancellation
You may cancel your Subscription at any time from your Tenant administrator panel. Cancellation takes effect at the end of the current billing cycle. We do not provide pro-rated refunds for unused portions of a billing cycle unless required by law.
5.5 Price changes
We may change Subscription prices on at least 30 days' written notice (email to your registered Account address). Price changes take effect on your next billing cycle following the notice period. Continued use after the new price takes effect constitutes acceptance.
5.6 No setup fees
We do not charge setup fees, onboarding fees, or per-seat fees on top of the published Subscription price.
Your Content
6.1 Ownership
You retain all ownership rights in the Content you upload to or create on the Platform. We do not claim ownership of your Content.
6.2 Licence you grant to us
You grant HUB BY THE WEB GUYS a worldwide, non-exclusive, royalty-free licence to host, store, transmit, display, reproduce, modify (for technical purposes such as formatting and resizing), and back up your Content solely for the purpose of operating, providing, and improving the Platform on your behalf. This licence terminates when you delete the Content or close your Account, except to the extent necessary for backup, legal compliance, or anonymised analytics.
6.3 Your responsibilities for Content
You warrant that:
You are solely responsible for backing up your Content. While we maintain regular backups, we do not guarantee recovery of any specific item of Content.
- You own or have the necessary rights to upload, store, and share the Content
- The Content does not infringe any third party's intellectual property, privacy, or other rights
- The Content does not violate any law or regulation
- Where the Content includes personal data of others, you have obtained the lawful basis and any required consents
6.4 Removal of Content
We may remove or restrict access to Content that:
Where practical we will notify you before removing Content.
- Violates these Terms, our Acceptable Use policy (Section 10), or any law
- Is the subject of a credible third-party rights claim
- Poses a security risk to the Platform or other users
Connected Social Media Accounts
7.1 How the integration works
HUB BY THE WEB GUYS is registered as a developer with the social media platforms we support (currently LinkedIn, X (formerly Twitter), Facebook, Instagram, TikTok, Pinterest, and YouTube). We operate one master developer application per platform under our company account. Tenants connect their own social media accounts through that master application via the social platform's standard OAuth flow.
Tokens issued by the social platform are scoped to the Tenant user who connected the account and are stored encrypted within that Tenant's workspace. No other Tenant can read, use, or detect those tokens.
7.2 Authorisation you grant
By connecting a social media account, you:
- Authorise HUB BY THE WEB GUYS to access that account on your behalf using only the scopes you approved during the OAuth flow
- Authorise HUB BY THE WEB GUYS to publish, schedule, read insights from, and otherwise interact with that account on your direct instruction — including via the scheduling system you configure
- Confirm you are entitled to grant this authorisation (e.g. you are the account owner or have written permission from the owner)
7.3 Compliance with the social platform's terms
By connecting a social account you also agree to that social platform's developer / API terms, including but not limited to:
If a social platform changes its developer terms in a way that requires us to restrict or remove a feature, we will do so without notice where the change is mandatory, and we will not be liable for the resulting loss of functionality.
- Meta Platform Terms and the Facebook / Instagram Platform Policies
- X Developer Agreement and Policy
- LinkedIn API Terms of Use
- TikTok for Developers Terms of Service
- Pinterest Developer Guidelines
- YouTube API Services Terms of Service
7.4 What you must not do
You must not use connected social media accounts via the Platform to:
Violation of the social platform's policies may result in your social account being suspended by the platform — that is between you and the platform; we are not responsible for the platform's enforcement actions.
- Publish content that violates the social platform's policies (spam, hate speech, misinformation, intellectual property infringement, etc.)
- Engage in inauthentic behaviour (mass automated posting beyond the platform's rate limits, fake engagement, etc.)
- Send unsolicited direct messages or comments at scale
- Scrape data from the platform beyond what the official API exposes
- Resell or sublicense access to the Platform's social media features
7.5 Revocation
You may disconnect a social account at any time:
On disconnect, we delete the OAuth tokens immediately and cached profile/metric data within 30 days (or 90 days for Meta platforms, per Meta's requirements).
- From within the Platform: Admin → Integrations → "Disconnect"
- From the social platform's own app settings
Connected AI Providers
8.1 Bring-your-own credentials
HUB BY THE WEB GUYS integrates with AI providers (OpenAI, Anthropic, Google Gemini, and others). Each Tenant supplies its own API credentials for those providers under its own developer account. We do not pool AI usage or credits across Tenants.
8.2 Your responsibilities
- You are responsible for AI provider fees, usage limits, and rate limits incurred under your credentials
- You are responsible for ensuring your use of AI providers complies with that provider's terms of service
- You are responsible for reviewing AI-generated content before publishing, sending, or otherwise relying on it
8.3 No guarantee of AI output
AI-generated content is produced by third-party models. We do not warrant the accuracy, completeness, suitability, or non-infringement of any AI-generated content. You must independently verify any AI output before relying on it for decisions, communications, or publication.
8.4 No model training on your data
We do not use your Content, your customer data, or any data you process through the Platform to train AI models. Data sent to AI providers on your behalf is sent only to fulfil a specific request you initiated (e.g. a "Generate post" action). Your AI provider's own privacy and data-handling terms apply to data they receive.
Other Connected Services
The Platform integrates with calendar providers (Google Calendar, Outlook), payment processors (Stripe), analytics providers (Google Analytics, Google Ads), and other third-party services. Your use of each Connected Service is subject to that provider's own terms of service. We are not responsible for the availability, security, or data-handling practices of any third-party service.
Acceptable Use
You must not, and must not permit any User to:
We may suspend or terminate any Account that we reasonably believe is in breach of this section.
- Use the Platform for any unlawful, fraudulent, or harmful purpose
- Send unsolicited bulk email (spam) or other prohibited communications
- Upload or distribute viruses, malware, or any code designed to disrupt the Platform or any third-party system
- Attempt to gain unauthorised access to the Platform, other Tenants' workspaces, or any underlying infrastructure
- Reverse-engineer, decompile, or disassemble any part of the Platform
- Scrape, harvest, or extract data from the Platform other than via the documented APIs and within published rate limits
- Resell, sublicense, or commercially exploit the Platform without our written consent (an authorised reseller relationship is a separate agreement)
- Use the Platform to infringe any third party's intellectual property, privacy, or other rights
- Use the Platform to generate or distribute deceptive deepfakes, non-consensual intimate imagery, child sexual abuse material, content inciting violence, or any content that violates applicable law
Intellectual Property
11.1 Our IP
The Platform itself — including the software, design, brand, name, logos, and documentation — is owned by TWG HUB or its licensors and is protected by intellectual property laws. These Terms do not grant you any right, title, or interest in the Platform other than the limited licence to use it in accordance with these Terms.
11.2 Feedback
If you send us suggestions, ideas, or feedback about the Platform, you grant us a perpetual, irrevocable, royalty-free licence to use that feedback without restriction or obligation.
Data Protection
Our handling of personal data is governed by our Privacy Policy and, where HUB BY THE WEB GUYS acts as a processor for the Tenant, by our Data Processing Addendum. By using the Platform you agree to those documents.
Service Availability
13.1 We aim for high availability
We aim to provide a continuously available Platform but do not guarantee uninterrupted service. The Platform may be unavailable from time to time due to maintenance, updates, third-party outages, force majeure, or other factors beyond our reasonable control.
13.2 Maintenance
We will give reasonable advance notice of planned maintenance windows where practical. Emergency maintenance may be performed without notice.
13.3 Feature changes
We may add, remove, modify, or restrict features of the Platform at our discretion. Where a change materially reduces functionality you rely on, we will give reasonable notice and, where possible, an alternative.
13.4 No specific uptime commitment
Unless a separate written Service Level Agreement (SLA) is in place, no specific uptime commitment is made. Pro-rated credit or refund for downtime is available only under a separate signed SLA.
Disclaimers
To the maximum extent permitted by law:
- The Platform is provided "as is" and "as available" without warranties of any kind, express or implied
- We do not warrant that the Platform will meet your specific requirements, be uninterrupted, error-free, secure against all threats, or that any defects will be corrected
- We do not warrant the accuracy, completeness, or reliability of any third-party content, AI-generated content, or content imported from Connected Services
- Statutory rights and warranties that cannot be excluded by law (e.g. consumer rights in the UK Consumer Rights Act 2015 where applicable) are unaffected by this section
Limitation of Liability
15.1 Cap on liability
To the maximum extent permitted by law, our aggregate liability to you arising out of or in connection with these Terms or the Platform shall not exceed the greater of (a) £100, or (b) the total amount paid by you to HUB BY THE WEB GUYS in the 12 months immediately preceding the event giving rise to the claim.
15.2 Excluded losses
In no event will we be liable for:
- Indirect, special, incidental, consequential, or punitive damages
- Loss of profits, revenue, business opportunity, goodwill, or anticipated savings
- Loss or corruption of Content beyond what reasonable backups would recover

15.3 Carve-outs
Nothing in these Terms excludes or limits our liability for:
- Death or personal injury caused by our negligence
- Fraud or fraudulent misrepresentation
- Any other liability that cannot be excluded by applicable law
Indemnification
You agree to indemnify, defend, and hold harmless TWG HUB and its officers, directors, employees, and agents from and against any claim, demand, loss, liability, damage, or expense (including reasonable legal fees) arising out of or relating to:
- Your Content, including any claim that it infringes third-party rights
- Your use of the Platform in breach of these Terms
- Your use of any Connected Service in breach of that service's terms
- Your violation of any law or regulation
- Your failure to obtain a lawful basis for processing the personal data of End Users you upload or import into your workspace
Term and Termination
17.1 Term
These Terms remain in effect for as long as you maintain an Account or otherwise use the Platform.
17.2 Termination by you
You may terminate your relationship with us at any time by cancelling your Subscription (Section 5.4) and closing your Account.
17.3 Termination by us
We may suspend or terminate your Account immediately and without notice if:
- You materially breach these Terms
- You fail to pay outstanding fees after reasonable opportunity to cure
- A regulator, court, or law-enforcement authority requires us to do so
- We reasonably believe continued service would create a security, legal, or reputational risk
17.4 Effect of termination
On termination:
- Your access to the Platform ends
- Subject to Section 6.2, we will delete or anonymise your Content within the retention windows set out in our Privacy Policy
- Sections that by their nature should survive (definitions, IP, disclaimers, liability limits, indemnification, governing law) survive termination
17.5 Data export
Before termination becomes effective, you may export your Content via the Platform's export tools. We are not responsible for assisting with manual data extraction post-termination beyond the export tools provided.
Governing Law and Disputes
18.1 Governing law
These Terms are governed by and construed in accordance with the laws of England and Wales, without regard to conflict-of-law principles.
18.2 Jurisdiction

18.3 Informal resolution
Before bringing a formal claim, you agree to contact us in good faith at info@thewebguys.co.uk and attempt to resolve the dispute informally. We agree to do the same. Most disputes can be resolved without litigation.
Miscellaneous
19.1 Entire agreement
These Terms, the Privacy Policy, the Data Processing Addendum, and any product-specific addenda referenced here constitute the entire agreement between you and TWG HUB concerning the Platform and supersede any prior agreement.
19.2 Severability
If any provision of these Terms is held invalid or unenforceable, the remaining provisions remain in full force and effect.
19.3 No waiver
Our failure to enforce any right or provision of these Terms is not a waiver of that right or provision.
19.4 Assignment
You may not assign or transfer these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, or sale of assets, on the same terms.
19.5 Force majeure
We are not liable for any delay or failure caused by events beyond our reasonable control — including but not limited to natural disasters, war, terrorism, civil unrest, pandemic, government action, third-party service outages, or internet infrastructure failures.
19.6 No third-party beneficiaries
These Terms do not create any rights enforceable by a third party under the UK Contracts (Rights of Third Parties) Act 1999 or equivalent legislation.
19.7 Notices
Notices from us to you may be given via email to your registered Account address or via a notice posted in the Platform. Notices from you to us should be sent to info@thewebguys.co.uk.
